Job Description:
The Receptionist provides Administrative and Clerical Support,
and you will play a pivotal role in ensuring the smooth operation
of our client's main office. Your responsibilities will encompass a
wide range of administrative tasks, including answering phones,
managing appointments, coordinating events, handling mail, and
maintaining various supplies and databases. Additionally, you'll be
responsible for assisting with written communications, document
preparation, and shipping logistics as directed. Key
Responsibilities: Phone and Visitor Management: Professionally
answer phones, providing excellent phone etiquette and handling
inquiries. Greet and assist visitors to create a welcoming
environment. Calendar Management: Schedule appointments and
effectively maintain calendars for office personnel. Event and
Meeting Coordination: Assist in the coordination of office events
and meetings, ensuring they run smoothly. Mail Handling: Collate
and distribute incoming and outgoing mail efficiently.
Communication and Document Management: Prepare various forms of
communication, including memos, emails, invoices, reports, and
other correspondence. Assist in writing and editing documents, such
as letters, reports, and instructional materials. Database
Maintenance: Maintain our client database, ensuring accurate and
up-to-date information. Supply Inventory Management: Monitor office
supply levels, anticipate needs, place orders, and handle
deliveries. Keep inventory well-stocked and organized. Shipping and
Handling: Prepare and ship materials as directed, with the ability
to lift up to 25 lbs. Make regular post office trips and bank
deposits as needed (approximately twice weekly). Required Skills:
Excellent written and oral communication skills. Strong
organizational skills to manage various tasks efficiently.
Exceptional time management to meet deadlines and appointments.
Meticulous attention to detail for accuracy in all assignments.
Effective problem-solving abilities to resolve issues
independently. Ability to work independently and collaborate within
a team. Education and Experience Requirements: High School Diploma
or Equivalent. 3 years of clerical experience in an office setting.
Proficiency with Microsoft Applications (Mac experience preferred).
Possession of a valid driver's license and current automobile
