Communications Director & Events Coordinator Payroll Status - Non-Exempt Hours - 8:00 a.m. - 5:00 p.m. Monday - Thursday 8:00 a.m. - 2:30 p.m. Friday (Hours vary due to events) POSITION SUMMARY: The Communications & Events Coordinator is responsible for the successful planning and execution of communications projects related to branding, digital marketing, communications, development/fundraising, and events. The Communications & Events Coordinator works closely with the Young Professionals Network, Community Relations, and Affiliate committees to ensure effective and efficient scheduling and execution of a wide spectrum of events, help grow public awareness, diversify revenue sources, and increase member engagement. This position reports directly to the Director of Operations. To support successful execution of events, this position will be required to work in the office and occasionally after regularly scheduled hours. COMMUNICATIONS DIRECTOR: Write, edit, and distribute various written communications to Association members & consumers. Types of responsibilities include but are not limited to: a. the Full Disclosure weekly newsletter; b. marketing brochures; c. fundraising collateral; d. fliers for events; e. social media updates: Facebook, Twitter, Instagram, and other appropriate platforms. Work with other staff members to create and post social media posts and assist with creating information for distribution of the weekly newsletter. Create and implement a marketing and communications plan while working with the CEO & Director of Operations, in accordance with Strategic Plan approved by the Board of Directors. Actively manage marketing and communications plan calendar. With the Director of Operations, create a consistent, effective look for the organization's outreach andmessaging materials. Keep up to date on emerging communications through real estate industry associations and any other entities as deemed necessary. EVENTS COORDINATOR: Continually work to enhance all events and their promotions. Collaborate with committee volunteers on the development and implementation of creative and effective eventmarketing strategies. Serve as a committee liaison and primary point of contact for the Community Relations, Sales Associate/Young Professionals Network, and Affiliate committees. Prepare written minutes and agendas for each meeting and provide committee information to the Board ofDirectors. Update supervisor and communicate timely with committees on plans, progress, potential issues and outcomesfor meetings and events. Serve as primary contact for event needs, including setup, registration, catering, and any other items necessary. Identify event requirements and business/attendee expectations for each event. Schedule and attend committee meetings and events to represent the organization as required. Must be willing to work a flexible schedule to meet requirements of the position. Ensure compliance with legal, health, and safety obligations. Proactively handle any arising issues and troubleshoot any emerging problems on the event day. QUALIFICATIONS: 1. Success in communications and outreach. 2. Minimum 3 years progressive proven experience in event planning preferred. 3. Strong interest in the organization's mission. 4. Strong desktop design and publishing skills, Adobe Creative Suite or other similar experience. 5. Basic accounting knowledge and familiarity with budgets. 6. Ability to multi-task, work fast and juggle multiple committees and multiple events. 7. Excellent planning and organizational skills and the ability to work both independently and as a member of a team. 8. Manage time efficiently and productively under pressure. Ability to meet strict deadlines. 9. Excellent interpersonal skills. Service-oriented and polished individual. Must have excellent communication, verbal and written, negotiation, and conflict resolution skills. 10. Must possess a strong, self-driven work ethic and enjoy taking initiative, decision-making skills, and the judgment necessary to determine action or approach for events, assignments, and projects. 11. Values of confidentiality, trust, and integrity. 12. Ability to exhibit diplomacy and professionalism. 13. Proficiency in MS Word, Excel, Outlook, PowerPoint, and other design apps and online registration, plus MS Teams and Zoom. Ability to learn customized membership software and database programs. COMMITTEE LIAISON RESPONSIBILITIES: Community Relations, Sales Associate/Young Professionals Network, and Affiliate Committees. The following aspects apply to all Association related meetings. The staff, assigned to the meeting, must ensure that these are followed: 1. Meetings are held only when there is legitimate business to conduct. 2. An Agenda must be prepared in advance and must be followed. 3. Minutes must be taken, during the meeting. 4. Meetings must be coordinated with the chairperson of each committee. COMMITTEES & EVENTS: --- SALES ASSOCIATE NETWORK / YOUNG PROFESSIONALS NETWORK (YPN) - This committee assists with the efforts to encourage real estate professionals to become involved with their peers, the real estate industry, and our local communities. This committee is responsible for developing forums, educational opportunities, and networking events such as Bus Tours or some other types of social events that engage members. The goal of this committee is to plan at least one event per quarter, throughout the year. This committee, along with the Event Coordinator, is responsible for planning the Annual Installation & Awards Banquet that is typically held in the first part of the year. --- COMMUNITY RELATIONS - The Event Coordinator, along with the chairpersons, will manage the primary fundraising event for the association with key delivery during th emonths of June, July and August. The Event Coordinator, along with the chairpersons, will coordinate fundraising events, such as golf tournaments to aide in the fundraising efforts throughout the year. --- AFFILIATE - This committee acts as the voice for the affiliate members of the organization and is the organization representative for a key appreciation day tradeshow. The Event Coordinator will work with the Affiliate Committee members and the chairperson to plan this event. This event is typically held in the fall. WORK ENVIRONMENT AND PHYSICAL DEMANDS: 1. Ability to travel to support business events and conferences. 2. Ability to walk, stand, and sit (including on the floor) for long periods of time. 3. Ability to lift, push, pull and/or move up to 40 pounds. 4. Position may require bending, leaning, kneeling, and walking. 5. Ability to speak concisely and effectively communicate. 6. Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency. 7. Ability to read reports, create presentations, and use a computer system. 8. Ability to write, type, and use the phone, and copier. 9. Ability to critically think and concentrate. Must be able to respond quickly to changes in conditions. 10. Must provide own transportation and a valid driver's license. 11. Perform desk-based computer tasks.
